Responsibilities

Customer Service

  1. Process customer orders and determine the most economical source and method of transportation to customer based on product type and location and product destination.
  2. Work with 3rd Party Logistics Service Provider (3PL) for all aspects of order management from processing through to follow up.
  3. Maintain proactive contact with customers on lead time, availability, product price increases and other issues that might affect delivery schedule or invoice amounts
  4. Respond to customer complaints and log in complaints. Keep Sales, Marketing and Business Groups and Plant Schedulers advised of customer's special needs, requests, etc. Follow up with customers to ensure resolution for and communication of a solution to the customer.
  5. Maintain accurate records in SAP for product alias code and customer data elements (including order processing: follow-up on order status and complete with timely auto-generation of invoices)
  6. Month-End closing
  7. Ensure customer service performance metrics meets agreed KPI targets.
  8. Periodic customer meeting, including Quarterly Business Review with Sales Manager
  9. AP sample management and co-ordination

Supply Operations / Inventory Management

  1. Liaison between warehouse/carriers and customers on delivery status
  2. Execute replenishment plan, work with 3PL and internal teams to ensure stock available to fulfil customers’ orders.
  3. 3PL management:
    • Ensure 3rd Party Distribution/Terminal Operations meets Afton business needs, service and safety standards levels.
    • Review and monitor 3PL in resolving issue that may arise
    • Ensure Warehouse and terminal inventories are effectively controlled to meet business needs whilst meeting cost and target objectives
    • SAP transactions protocol and requirement are strictly adhered
    • Ensure Afton’s EHS policy and requirements are compiled at all times when carrying out task
    • Respond effectively to short term issues maintaining customer service standards and reliability
    • Participate in Quarterly meeting with 3PL for review, updates and improvement on performance.

Support Office Admin

  1. Maintain the condition of the office, arranging for repairs, servicing when needed.
  2. Replenish office, pantry supplies and equipment.
